Privacy Policy

This policy explains how Darwin Tech Solutions LLC ("Darwin.Tech", "we", "us") collects, uses and protects information through our website at darwintech.ai and our business communications, including text messaging.
This policy covers information about visitors to our website and prospective clients. It does not govern protected health information (PHI) that we process on behalf of client organisations. That information is handled under a separate Business Associate Agreement with the client, and under that client's own privacy practices.
1. Information we collect

- Name, company name and email address, when you submit our contact form or email us
- A description of what you are trying to build or fix, if you choose to share it
- Your mobile phone number, if you text us or provide it during a call
- Scheduling details, if you book a strategy session through our calendar link
Information collected automatically
- Standard analytics data through Google Analytics 4 — pages viewed, approximate location, device and browser type, referring site, and time on page
- Cookies and similar technologies used by that analytics service
We do not ask for, and ask that you do not send us, sensitive personal information, health information or client confidential information through our website contact form or by text message.
2. How we use information
- To respond to your enquiry and provide the services you ask about
- To schedule and prepare for consultations
- To send you service-related messages you have consented to — replies to your enquiry, appointment confirmations and reminders, updates during an active engagement, follow-up afterwards, and occasional requests for feedback
- To understand how our website is used, so we can improve it
- To meet our legal, tax and record-keeping obligations
We do not sell personal information. We do not use the information you give us to send unsolicited marketing, promotional offers or advertisements.
3. Mobile information and text messaging
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors for support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
If you text us, give consent during a call, or agree to text messaging in a signed service agreement with us, we use your mobile number only for service-related messages: replies to your enquiry, appointment confirmations and reminders, updates and follow-up during or after an engagement, and occasional requests for feedback or a review. We do not send promotional offers or advertisements, we do not add your number to any marketing list, and we do not sell, rent or share it.

4. When we share information
We share information only in these circumstances:
- Service providers. Companies that operate our infrastructure and tools — such as cloud hosting, email, messaging and analytics providers — and only to the extent needed to deliver the service. They are bound to protect the information and may not use it for their own purposes.
- Legal requirements. Where we are required to by law, regulation, subpoena or court order.
- Business transfer. If our business is sold or merged, information may transfer as part of that transaction. Any successor would be bound by this policy.
We do not sell or rent personal information to anyone, and we do not share it for third-party marketing.
5. Analytics and cookies
We use Google Analytics 4 to understand aggregate site usage. This service sets cookies and collects usage data as described in Google's own privacy documentation. You can block cookies through your browser settings, or opt out of Google Analytics using Google's browser add-on. Blocking cookies will not prevent you from using this site.
6. How long we keep information
We keep enquiry and correspondence records for as long as needed to respond to you and to meet our legal and record-keeping obligations, and then delete or anonymise them. If you ask us to delete your information, we will do so except where we are required to retain it.
7. Security
We hold information on infrastructure operated by established cloud providers, with access limited to those who need it. Business communications are encrypted in transit. No system is perfectly secure, but we take reasonable and appropriate measures to protect what we hold.
8. Your choices and rights
- Access, correction and deletion. Email us and we will confirm what we hold about you, correct it, or delete it.
- Messaging. Reply STOP to any message to stop all further messages.
- Analytics. Opt out through your browser or Google's opt-out add-on.
- California residents. Depending on our size and the volume of information we handle, California law may give you rights to know what personal information we collect, to request deletion, and not to be discriminated against for exercising those rights. We honour these requests regardless of whether we are strictly required to. We do not sell or share personal information as those terms are defined under California law.
9. Children
Our website and services are for businesses and are not directed to children under 16. We do not knowingly collect information from children.
10. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top will change, and material changes will be noted here. Continuing to use the site after an update means you accept the revised policy.
